Hosting

The website and editorial area run on a server operated by Hetzner Online GmbH, Industriestraße 25, 91710 Gunzenhausen, in a data centre in Germany. A data processing agreement under Art. 28 GDPR is in place with Hetzner.

What happens when you visit this website

When you visit this website, your browser transmits technically necessary data to our server, which is stored there in a log file: the address accessed, date and time, amount of data transferred, notification of successful retrieval, browser type and operating system, and the IP address.

The legal basis is Art. 6 (1)(f) GDPR. Our legitimate interest lies in the secure and trouble-free operation of the website. This data is not combined with other data sources and is deleted after seven days at the latest.

No cookies, no reach measurement

We do not use cookies, tracking or analytics services. There is therefore no consent banner either. No profiles of your behaviour are created.

No third-party services

All content on this website, including fonts and images, is delivered exclusively from our own server. There are no connections to external providers such as font libraries, map services, video platforms or social networks. When you visit this website, your IP address is not transmitted to any third party.

membership application

If you fill in the membership application on this website, we process your name, date of birth, address, email address, voluntarily your telephone number and occupation, the chosen membership fee, for minors the name of the legal representative, as well as your signature made on screen. This generates a PDF, which is sent to our mailbox info@edu-vita.de and to you as confirmation.

The legal basis is Art. 6(1)(b) GDPR (performance of membership). The application and the PDF are additionally stored in the protected editorial area, to which only the board has access, and are automatically deleted twelve months after receipt. We use the Resend service to send these emails (see below).

Donation notification

You can use "I have transferred" to let us know about a bank transfer. All details (amount, name, email address, request for a donation receipt) are optional. They are sent by email to the board and kept in the editorial area until they are automatically deleted after twelve months. If you provide an email address, we will send you a brief confirmation. The legal basis is Art. 6 (1) (a) GDPR, or Art. 6 (1) (c) GDPR if a donation receipt is requested.

Contact form

If you write to us using the contact form, we process your enquiry, your name, your email address, optionally your telephone number, and your message. The details are sent by email to the board, and you will receive an acknowledgement of receipt at the address provided. The message itself is not stored on the website.

The legal basis is Art. 6 (1) (b) GDPR if your enquiry relates to membership or a donation, otherwise our legitimate interest in responding under Art. 6 (1) (f) GDPR. We delete the email once your enquiry has been dealt with and no statutory retention obligations apply. To protect against automated submissions, the form checks an invisible field and the time taken to fill it in; your IP address is only held briefly in working memory for this purpose and is not stored.

Newsletter

For the newsletter, we only need your email address. After signing up, we send an email with a confirmation link. Only once you click it do we add your address to the recipient list (double opt-in). The legal basis is your consent under Art. 6(1)(a) GDPR. You can unsubscribe at any time via the link at the end of every newsletter email.

The recipient list and dispatch are handled by Brevo (Brevo GmbH, Köpenicker Straße 126, 10179 Berlin). Brevo processes the address on our behalf in accordance with Art. 28 GDPR and determines whether a newsletter has been opened and whether links within it have been clicked. We only use this to check delivery.

Members of the association receive association notices by email, such as invitations to the members' meeting. For this, we use the email address from the membership application, or the address you have given us as a member. The legal basis is the membership relationship under Art. 6 (1) (b) GDPR. These emails are also sent via Brevo, in a separate list for members. Upon leaving the association, we remove the address from the list. You can unsubscribe via the link at the end of each email or by sending a short message to info@edu-vita.de.

Sending of emails via Resend

We send emails regarding membership applications, donation reports and contact enquiries via Resend (Resend, Inc., 2261 Market Street #5039, San Francisco, CA 94114, USA), with servers located in the European Union. Resend processes the sender, recipient and content of the email on our behalf. The EU Commission's standard contractual clauses apply to any transfer to the USA.

Contact by email

Our mailbox info@edu-vita.de is hosted by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin. Incoming emails, including those from the forms on this website, are forwarded from there to the mailboxes of the two chairpersons of the board.

If you write to us by email, we process your details exclusively to deal with your enquiry. The legal basis is Art. 6 (1)(b) GDPR for contract-related enquiries, otherwise Art. 6 (1)(f) GDPR. Your message will be deleted as soon as it is no longer needed and no statutory retention obligations apply.

Donations and membership

Donations reach us by bank transfer to our association's account. We process the data arising from this to allocate the donation, for bookkeeping and, where required, to issue a donation receipt. The legal basis is Art. 6 (1)(c) GDPR in conjunction with tax and commercial law retention obligations. Records are kept for the legally required period.

We process members' data to carry out the membership pursuant to Art. 6 (1)(b) GDPR. The publication of name, place of residence and year of joining on the members' page takes place on the basis of the respective member's consent pursuant to Art. 6 (1)(a) GDPR. This consent can be withdrawn at any time, without giving reasons, with effect for the future, and the entry will then be removed.

Your rights

You have the right to information about the data stored about you (Art. 15 GDPR), to rectification (Art. 16), to erasure (Art. 17), to restriction of processing (Art. 18), to data portability (Art. 20), as well as the right to object to processing based on legitimate interests (Art. 21). You may withdraw any consent given at any time with effect for the future.

To do so, please contact info@edu-vita.de. Regardless of this, you have the right to lodge a complaint with a supervisory authority; for our location, this is the Saxon Data Protection Commissioner.
